Review a Coating Quote When the Surface Condition Changes

Reassess preparation and compatibility after the real condition differs from photographs.

Updated · NANOLAB Knowledge

A coating quote may need revision when inspection reveals a different surface condition from the one used for the estimate. The change should be explained through evidence and scope, not presented as an unexplained price increase. Keep the original assumptions available for comparison.

Describe the difference

Record the condition found and how it differs from photographs, customer information or earlier inspection. Avoid diagnosing uncertain defects beyond the available evidence. Identify which areas require further assessment before a product or preparation process can be confirmed.

Reassess the relevant work

Explain how the difference affects preparation, compatibility, access or the intended result. For example, an unknown existing treatment may require technical clarification before the original coating recommendation remains appropriate. Do not automatically add a more intensive process without evaluating whether it is suitable or necessary.

Give the customer a clear decision

Present the revised scope, alternatives where relevant and any effect on timing or cost. Obtain the appropriate agreement before proceeding beyond the original authorization. Update the job record and handover information to match the accepted work. A transparent revision lets the customer see why the original estimate changed and what the new proposal addresses. It also prevents the workshop from absorbing an unclear expectation or delivering a job that no longer matches the inspected condition.

Revise the quote when the evidence changes

Record the newly observed condition and explain which original assumption it affects. Photograph the relevant area and identify whether the change concerns preparation, correction, compatibility, access or the agreed finish.

Present the revised scope before proceeding through the workshop's normal approval process. Do not treat a customer's initial request as approval for unlimited additional work. If the new condition cannot be resolved within the proposed process, explain the limitation and available next steps. Keep both quotation versions. This makes the revision traceable and protects the customer relationship by showing that the change follows new information rather than an unexplained increase in price or a hidden reduction in the promised result.
