Coating Promotion Reconciliation: Match Discounted Invoices to the Approved Offer

Reconcile discounted coating sales against the approved promotion, including quantities, eligible packs, freight and credits.

Updated · NANOLAB Knowledge

A private-label promotion can be correctly priced in a planning sheet yet implemented differently across invoices. Reconciliation checks whether the realised transactions match the offer that was approved.

Freeze the offer definition

Record eligible products and pack sizes, customer group, start and end dates, quantity thresholds and included services. State how freight and later credits are handled. Keep the approved version available after the campaign ends.

Build a transaction-level check

Field Comparison
Product and quantity Did the order qualify?
Realised unit price Does it match the approved tier?
Freight and extras Were included and excluded charges applied correctly?
Credits and returns Do they change the final transaction value?

Calculate a consistent realised price

In an illustrative example, ten bottles are invoiced at 90 currency units each and a later 50-unit credit applies to those bottles. Net product revenue is 850, or 85 per bottle, before any separately defined charges. Comparing only the original invoice price would miss the credit’s effect.

Investigate exceptions before changing policy

Separate authorised commercial exceptions from data-entry errors and unclear offer wording. Do not automatically reverse a customer adjustment without reviewing its reason and applicable agreement. Summarise exceptions by cause and revise the next promotion’s instructions. The goal is a reproducible offer whose actual implementation can be understood, rather than a headline discount disconnected from the transactions it generated.

Discuss your private-label coating project. For application and care, use the current instructions for the exact product.
