Coating Purchase Orders: Detect Duplicate Orders Before Replenishment

A repeat enquiry, revised quotation or resent email should not automatically create another purchase order. Use a stable order reference and a clear revision process to prevent duplicate coating commitments.

Updated · NANOLAB Knowledge

The key distinction

The purchasing record should distinguish a new order from a change to an existing one. Compare supplier acknowledgements with that record before treating every received document as a separate delivery expectation.

Practical checks

  1. Assign and preserve the purchase-order identity.
  2. Label revisions with their effect on the original commitment.
  3. Reconcile acknowledgements and open quantities before reordering.

Example

Illustrative example: a buyer resends an order after receiving no immediate response, and the supplier interprets it as an additional order. A clear reference and explicit resend status reduce that ambiguity.

Scope and limits

Do not cancel a supplier commitment based only on a suspected duplicate. Resolve the records with the responsible commercial parties and preserve the confirmed outcome.
