How to Record Open Questions Before a Coating Order

Create a short unresolved-issues register with an owner and decision date for each item.

Updated · NANOLAB Knowledge

Open questions are normal during coating procurement. The risk comes from losing them between conversations and treating silence as approval. A compact issue register gives every uncertainty an owner and prevents an order from advancing on contradictory assumptions.

Write questions that can be closed

Use one issue per row. Record the product or component involved, the specific question, the person expected to answer and the evidence needed. Replace vague entries such as check packaging with a precise question about the bottle, closure, label or included accessory.

Prioritize by the purchasing decision

Identify which answers affect suitability, supply scope or the ability to use the product as intended. Keep optional preferences separate. An unresolved technical requirement should not disappear because the delivery date is approaching. Set a review point before the order is released.

Preserve the answer and its scope

For example, confirmation that a sample bottle is acceptable does not answer whether a different retail bottle has been approved. Attach the actual response and note the component or revision it covers. Close an issue only when the answer resolves the recorded question. If the requirement changes, reopen it or create a new entry. Share the final register with receiving and application staff so the purchasing decision remains understandable after the original buyer steps away.

An open-question register that leads to action

Use the fields question, why it matters, responsible person, answer needed by and decision affected. Classify questions as blocking, nonblocking or informational according to your project. Unknown compatibility should not be buried beside a minor carton-colour preference.

For example, a missing delivery estimate affects scheduling, while an unclear approved substrate affects whether the product belongs in the order at all. Close a question only when the answer is recorded and the relevant owner accepts it. If the answer creates a new condition, keep that condition visible. This simple discipline prevents a long email thread from looking resolved merely because everyone has replied at least once.
