Private Label Coating Samples After a Difficult Delivery

Record delivery condition before evaluating private label coating samples, so leakage, storage uncertainty and transport damage do not distort conclusions.

A sample evaluation begins when the parcel arrives. If a bottle has leaked, its label is damaged or the delivery history raises storage concerns, applying it immediately can produce misleading feedback. First establish whether the sample is suitable for evaluation.

Record what arrived

Photograph the outer package, internal protection, bottle and closure before discarding packaging. Note the product and batch identification, receipt date and any visible damage. Keep the carrier’s delivery information where relevant, without treating a guessed transit temperature as a measured fact.

If there is leakage or an unfamiliar condition, follow the product’s safety information and ask the supplier how to handle it. Do not use smell, a flame or an improvised chemical test to decide whether a sample is acceptable.

Separate observations from explanations

Write what you can verify: a loose closure, liquid in the bag, a broken seal or an unreadable label. Avoid jumping straight to a formula-quality conclusion. The problem could relate to packaging, handling or a condition that needs manufacturer assessment.

Keep an affected sample separate from approved stock under the supplier’s instructions. Do not mix it with another bottle or top it up to restore the apparent fill level.

Ask for an evaluation decision

Send the supplier the identification and photographs, then request clear advice: proceed, condition the sample as instructed, replace it or return it through an approved route. Any waiting or storage instruction should come from the product requirements, not a universal rule for all coatings.

When evaluation resumes, record the sample’s history alongside application observations. This makes the feedback interpretable.

Improve the programme from the finding

If packaging was the issue, repeat the shipping configuration assessment before scaling to customer deliveries. If the product remains within its documented conditions, continue the normal evaluation without claiming transport damage that was never established. A careful receipt record protects both sides from drawing conclusions about chemistry from a sample whose condition was uncertain.
