Managing Confidential Files in a Private Label Coating Project

Organise private label coating project files so artwork, specifications and approved claims are shared with the right people and current versions remain clear.

A private label project can generate many versions of labels, specifications, samples and launch images. Clear file management protects the project from accidental disclosure and prevents the wrong version from reaching production. It also makes the manufacturer discussion more efficient.

Separate working files from approvals

Create distinct locations for drafts, material under review and approved production assets. Name files with the product code, revision and date. Avoid filenames such as final-new-latest that become ambiguous after several changes.

Keep the approved artwork linked to the bottle dimensions and print specification it was designed for. A label approved for one package should not silently become the production file for another.

Share only what the recipient needs

Identify the people responsible for chemistry, packaging, artwork and commercial coordination. Provide each with the relevant information through the agreed channel. Do not include unrelated customer lists, other brands’ artwork or confidential third-party material in a general project folder.

Discuss confidentiality and permitted brand references through the commercial arrangement. A tidy folder structure is useful, but it is not a replacement for agreed obligations.

Keep a decision record

For each approved change, record what changed, who approved it and which product or batch it affects. Store the current technical instructions and claims list with the corresponding sample or product revision. This prevents a visually current label from carrying outdated application wording.

When a file is superseded, mark it clearly and remove it from the production handoff set without losing the historical record needed to explain past work.

Prepare a clean manufacturer handoff

Send a concise package containing the current brief, approved artwork, packaging specification and unresolved questions. Ask NANOLAB to confirm receipt of the intended versions before production is arranged. The goal is an understandable project history with controlled sharing, rather than relying on memory across email attachments and messaging threads.
