Organise coating support around product identity, common questions and approved instructions so staff can give consistent, useful answers.

A technical support library should help staff find the right answer for the exact coating a customer has. A folder containing many old documents can create the opposite result. Organise the library around product identity, current instructions and the questions that require escalation.
For each product, identify the current technical information, safety information, application guide and aftercare guidance. Record the applicable revision and the route for older versions. Avoid keeping several files labelled “final” without a clear owner.
Connect the record to formula change control. When a product changes, support staff need to know which advice applies to existing stock as well as to the new version.
Useful entries explain what information to collect and what the customer should do next. For example, an entry about reduced beading should ask about recent washing, contamination and maintenance products before concluding that the coating has failed.
Link to the relevant loss-of-beading guide and preserve its diagnostic sequence. Do not compress a nuanced answer into “add more coating” merely to keep the support script short.
Mark questions that require the manufacturer or a suitably qualified person: uncertain surface compatibility, unusual product condition, damage, conflicting instructions or safety concerns. Staff should know how to collect the product and batch information without guessing at the cause.
Use support triage to keep reports consistent. Separate confirmed information, customer observations and unresolved hypotheses in the case record.
Review repeated questions and improve the instructions or navigation that caused them. Record who approved each substantive answer and when it was last checked. Remove obsolete shortcuts from active use while retaining a traceable history where needed.
