Building a Batch Traceability Record for Coating Distribution

Batch traceability connects a product to its supply history. For a ceramic coating distributor, the practical objective is to identify what arrived, where it went and which instructions accompanied it. A system can be simple without losing those connections.

Capture the batch at receipt

Record the product reference, pack size, batch identification, quantity, receipt date and supplier document reference. Check that the physical labels agree with the paperwork. If the batch reference is missing or unreadable, resolve that before splitting the delivery into smaller orders.

Use the delivery intake process to record packaging damage and discrepancies at the same time. Keep photographs focused on the relevant product and packaging rather than collecting unrelated customer information.

Preserve the identity when stock moves

When a carton is opened, its batch information should not disappear with the outer packaging. Label internal storage locations and make sure pickers can distinguish similar products. If one customer order contains two batches, record both and the quantities supplied from each.

Do not merge unidentified leftovers into a single stock line. A system that shows ten bottles available but cannot identify their batch is less useful than one with a smaller, clearly verified quantity.

Record the outgoing connection

Link each shipment to the product, batch, quantity and order reference. Your team should be able to answer two questions: which batches reached this customer, and which orders received this batch? Test both directions using a small sample of normal orders.

For example, if a customer reports a closure leak, the batch record can help determine whether the concern is isolated to one package or appears across several recipients. It does not determine the cause on its own; it supplies the evidence needed for a focused investigation.

Keep the record usable

Use consistent product names and avoid free-text abbreviations that different staff interpret differently. Establish who corrects mistakes and how the original entry remains understandable. The record should support daily work, not require someone to reconstruct a month of shipments from messages.
